Reservations and Payment

Receipt of a deposit and the signed contract is required to hold your reservation for the Painting Tour.

The balance must be paid by “pay in full” date.  If final payment is not received by “pay in full” date, Renaissance School of Art (RSA) reserves the right to cancel reservation or to assess a $100 per person late fee for late payment.

The fee includes all art instructions, accommodation, all breakfasts, some dinners and lunches (alcohol is not included), transfer from/to the airport or hotel, transportation to painting sites and between the cities and nearby towns, and some tickets to museums and other attractions as described in the tour description & contract. Airfare and tips are NOT INCLUDED. We reserve the right to adjust the daily program if necessary by substituting an equal event or location. For Lunches and Dinners which are not included, the arrangements will be made, so you will have an option to stay with the group and we’ll help with the local meal choices, or go to explore on your own the variety of delicious food offered at your destination.

Base price include shared accommodation in double room with two single beds or one double bed. Single room is available for extra charge. Non-participating partner (in shared room) will receive a discount. 

Travel Documents required

It is each participant’s responsibility to arrange the appropriate travel documents (passport, visa if required). We will provide travelers with visa support documentation (invitation).

Baggage

Please check with your airline to verify their baggage allowances. Note: This will primarily be a plein air workshop. All paints (watercolor and oil) must be placed in checked baggage. We recommend that you assure that they are in double or triple layers of ziplock bags! Enclose in your ziplock bags a clearly legible note saying: “artists colors made from vegetable oil”. If you want to know more check online. No solvents should be taken on an airplane. Solvents will be available for you at the destination. You will receive a supply list well in advance of the workshop. We cannot take any responsibility for your travel arrangements, including lost, delayed, or damaged luggage.

Medical

Any physical disability requiring any special attention must be reported when the reservation is made knowing that the tour is not suitable for people with disabilities. All participants certify not to have health or physical conditions that would create a hazard for him/herself or other participants.

Medical insurance is recommended but not required at most of our destinations.

Use of Traveler Images

Photographs and video taken by RSA during the trips are the property of RSA and may be used in promotional materials. Any traveler who does not wish to have his/her photograph used must notify RSA in writing no later than the beginning of the tour.

CANCELLATION POLICY

The workshop is organized as a small group boutique experience. All expenses are carefully allocated. If you cancel your registration, we will be left short, and for that reason your right to a refund is limited. Any request for refund must be made in writing.

You will receive Full Refund:

  1. At any time up until 4 months prior the first day of our Tour (administrative cancellation fee of $75 will apply)
  2. If you must cancel the Tour and you find another traveler for your spot.
  3. If RSA must cancel the Tour.
  4. If your Visa application get rejected (Visa Refusal documents must be submitted together with trip cancellation request).

You will receive refund of 50% of fee paid:

If you cancel in the period 3-4 months before the trip

No refunds will be issued for cancellations made after “pay in full” date unless your Visa application get rejected or you find another traveler for your spot.

RSA has the right to cancel the tour up to 45 days prior to departure if there are too few participants. RSA’s liability would be limited to a full refund of the fee paid but will not be responsible for expenses incurred in preparation for any canceled trips, such as airline tickets, trip insurance, visa application.

If a traveler doesn’t receive her/his traveling documents (passport and/or visa) in time for the trip, RSA will not reimburse any monies to the traveler. Traveler will receive a full refund of fee paid only if his Visa application get rejected by the authorities.

RSA reserves the right to decline, accept or retain at any time, any person as a participant of a tour or to remove any traveler from a tour should RSA determine that the traveler is disruptive to the tour. In that event or if a traveler voluntarily chooses to leave a tour, RSA will not refund any monies to the traveler. If a traveler causes any damages, she/he is the sole person responsible for payment.

We recommend reliable trip insurance. Your policy may cover your loss if your reason for cancellation falls within their policy coverage. You must be satisfied with what the insurance covers – usually illness, delays or lost baggage.

Responsibility and Release of Liability

Neither the teacher nor the organizer are responsible for any injury, medical issues, loss, death, inconvenience, delay, damage to person or property in connection with the provision of any goods or services related to the painting trip to _____________(country). This includes any loss or damage resulting from, but not limited to, acts of war or civil unrest, insurrection of revolt, animals, insects, strikes or other labor activities, criminal or terrorist activities of any kind or missing a flight because of above or for any other reason.

If bad weather or other incident causes delays and you are caused to stay additional nights, you will be responsible for hotel and all other expenses. Baggage is entirely at your own risk.

RSA is not liable for changes in program or inconvenience due to strikes, weather, cancellations or any circumstances that could disturb in the carrying of any arrangements.
